The Basics

What is a training matrix?

A training matrix is a single grid that answers one question at a glance: is every person current on every training they need? Employees run down one side, the required trainings run across the top, and each cell shows where that person stands on that requirement — done and current, coming due, overdue, or not applicable.

It's the tool ops, HR, and safety managers reach for when someone asks “is everyone up to date?” Instead of digging through certificates and sign-in sheets, you glance at a wall of color. A good matrix also tracks expiration dates, because most compliance training — OSHA refreshers, CPR, forklift certification — has to be renewed on a schedule.

How to use a training matrix

The template comes filled with sample data so the color logic is visible right away. Replace it with your own and you're running.

List your people and requirements

Rows are employees, columns are the trainings they need — OSHA, HIPAA, equipment, whatever applies. Replace the sample names and requirements with your own.

Set a status and a date per cell

For each person and each requirement, pick a status from the dropdown and enter the date it expires. That date is what drives the color.

Read the colors

Green means current, yellow means expiring soon, red means expired, gray means not required. The Summary tab tallies it all automatically.

The Layout

Columns and statuses explained

Every cell holds two things — a status and an expiration date — and the color follows from the date automatically.

The columns

  • Employee

    One row per person. Add a Department or Location column to filter by team or site.

  • Requirement columns

    One pair of columns per training — a Status dropdown and an Expires date — grouped under the requirement name.

  • Status

    A dropdown: Required, In Progress, or Not Required. Not Required turns the cell gray.

  • Expires

    The date the training lapses. This single date drives whether the cell is green, yellow, or red.

The color key

  • Green — current

    Completed and more than 60 days from expiring.

  • Yellow — expiring soon

    Within 60 days of its expiration date — time to schedule a renewal.

  • Red — expired / overdue

    The expiration date has already passed.

  • Gray — not required

    This training doesn’t apply to this person.

  • White — not recorded

    Required, but no date entered yet.

The 60-day window is easy to change — the Instructions tab shows how.
